EastWest Bioscience is looking for a responsible Accounting Assistant to perform daily accounting tasks that will support our financial team. This is the perfect position for 3rd or 4th year Accounting students.

Duties of the Accounting Assistant include managing expense reports and reimbursements, entering financial transactions into our internal databases and reconciling invoices. Ultimately, you will help our Accounting department run smoothly, ensuring transparency and efficiency in all transactions.

 

Duties and Responsibilities:

  • Organize receipts and reconcile them against expense reports and invoices

Corporate Administrative Assistant

EastWest Bioscience is a seed-to-sale hemp-based consumer goods company seeking bright minds where you will be working with cross-functional teams that will take on exciting and challenging projects. EastWest Bioscience is looking for a responsible corporate administrative assistant (min. 2 years experience) to perform a variety of administrative and clerical tasks. Duties of the Corporate Administrative Assistant include keeping corporate minute books up to date and files organized on a day to day basis, depending on transactions at such time. Location and reporting structure based in the Vancouver corporate office, this position reports directly to the CEO and COO, providing support to our CEO, COO managers and employees, assisting in daily office needs and managing our company’s general administrative activities.

 

Duties and Responsibilities:

  • Corporate Filings
    • Making regulatory filings
    • Reviewing and maintaining corporate books and records.
    • Assisting with conducting due diligence on third-parties and responding to due diligence requests by third-parties.
  • File Maintenance
    • Create new files, virtual file lists, scan documents into documentmanagement system and maintain filing system
    • Ensure paper and digital filing is up to date
    • Maintain Confidentiality Agreements (“CA”) excel list and diarize CAs for expiry
    • Periodically prepare files that will be going to storage
    • Assist with Corporate Records
    • Organize and maintain company shadow minute books, including scanning documents
    • Update records, address changes, and changes in Officers & Directors
    • Update corporate company fact sheets, when required
  • Other General Duties
    • Assist with quarterly mail-outs, including proofreading materials
    • Create binders for the Directors and Committee meetings, including inserting tabs and putting labels on spine
    • Perform general office duties, such as typing, photocopying, and shredding confidential material
    • Provide back-up reception support, when required
    • Perform other duties as required in support of Company objectives

    Competencies and Requirements:

    • Minimum 2 years experience working in a legal role with general corporate knowledge in the areas of any one of the following: (1) corporate records, (2) corporate commercial, (3) corporate securities, (4) corporate mergers and acquisitions and/or (5) corporate finance/banking
    • An excellent team player who is flexible and willing to assist, when required
    • Excellent verbal and written skills to communicate with both internal and external people
    • Ability to complete everyday tasks with minimal supervision and willingness to take ownership of the role
    • Experience in maintaining files in hard copy and digital format
    • Proficient in Microsoft Office Applications or another document management system
    • Experience maintaining corporate minute books is an asset

Executive Assistant

Although you may not have all the skills required, we are looking for someone who is resourceful, a self-starter and willing to learn.

 

EastWest Science is looking for a responsible executive assistant (min. 2 years experience) to perform a variety of administrative and clerical tasks for our fast-growing company. Duties of the Executive Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities.

Executive Assistant responsibilities include making travel and meeting arrangements, preparing reports and keeping critical projects moving forward. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel, MS Word, and office equipment.

You would work closely with other team members to support daily operations and keep critical projects moving forward by overseeing all administrative aspects and ensuring timely completion of tasks. We require a mature and reliable person who is committed to ensuring the efficient and smooth day-to-day operation of our office and manufacturing facility operations.

 

Roles and Responsibilities:

  • Acts as the administrative point of contact between the executives and internal/external clients, receiving calls/messages and routing correspondence
  • Handles executives’ requests and queries appropriately
  • Prepares and processes a variety of documents (such as reports, presentations, graphs, tables, etc.) using MS Word, Excel or PowerPoint
  • Reviews and verifies the accuracy of information; identifies discrepancies and follows up with appropriate parties to clarify, confirm or correct information
  • Provides a range of administrative, clerical and business support services such as: reviewing and processing invoices, contracts and/or material requests and employee expense claims
  • Makes travel arrangements
  • Updates building access for office staff, establishing filing systems; and ordering and maintaining office supplies and equipment as required
  • Sets up, monitors and reconciles data using project management, contract/cost management and/or maintenance systems. Refers data discrepancies to the appropriate manager for review
  • Write and distribute email, correspondence memos, letters, faxes, and forms
  • Assist in the preparation of regularly scheduled reports, presentations and meeting minutes

Qualifications:

Graphic Designer

EastWest Science is a seed-to-sale hemp-based consumer goods company with locations in Penticton, BC and Vancouver, BC. Although you may not have all the skills listed, we want you to be resourceful and willing to learn. We're looking for someone we can promote to full-time.

We're hiring two junior designers with 1-2 years of industry experience to create compelling visual concepts and design across a broad range of communication platforms. We need mature, reliable, energetic, and creative people who are committed to creating remarkable deliverables while meeting required deadlines. You would collaborate with other designers and team members to understand business needs and turn requirements into deliverables that elevate our company brands above the rest.

 

Roles and Responsibilities:

  • Work with the creative team and project managers to create and manage designs from concept through to final deliverables.
  • Design marketing collateral – print, digital (web or social media) and/or packaging materials – that align with brand guide standards.
  • Work with our partner printers on delivering our printed materials and packaging.
  • Participate in brand development and create brand guidelines and define standards.
  • Research and gather imagery that would build the brand and adhere to brand standards.
  • Development a strategy to bring brand to life through multiple marketing channels, print media, web and social media.
  • Support our social media team with imagery/artwork through various online platforms.

Qualifications:

  • 1-2 years of graphic design experience.
  • BA in Graphic Design or equivalent accredited design program.
  • Strong skills in current web and graphic design practices and production software, including Adobe Photoshop, Illustrator, InDesign, and Acrobat.
  • Good layout, colour theory, photo editing and typography skills.
  • Good understanding of branding.
  • Working knowledge of and experience with print production of marketing materials and packaging.
  • Deadline-driven and cool under pressure.
  • Detail-oriented and committed to a high standard of design execution.
  • Excellent written and verbal communication and interpersonal skills.
